Are you passionate about delivering outstanding client service in a modern, digital-first environment? We are seeking a motivated Administrative Support Officer to join our friendly team. 

Health Law Partners is a "new law" firm that provides experienced, senior lawyers and subject matter experts to support the health industry. We do this through providing both 'traditional' law firm services at a fraction of the cost, and cost-effective secondments, so that we tailor the service to meet the needs of each client. 

As our new Administrative Support Officer, you will play an important role to support the practice as it enters an exciting period of growth. The role involves providing essential administrative and practice management support to the Principal and the broader legal team. The role ensures the smooth functioning of the systems that help manage our business including our client relationship management system, our client matter management system and our financial system.  

The role requires the ability to work independently from a suitable home office.

Position Purpose 

The Administrative Support Officer provides essential administrative and practice management support to the law practice principal and the broader legal team (currently 8 lawyers who work a mix of F/T, P/T and Casual roles). The role ensures the smooth functioning of the systems that help manage our business including our client relationship management system, our client matter management system and our financial system.  

Key Responsibilities 

  • Manage and monitor the law practice principal’s email inbox, including prioritising correspondence and flagging urgent matters. 
  • Monitor and maintain the firm’s client matter records in the SharePoint-based intranet portal and Microsoft Teams environments. 
  • Update and maintain client information in the CRM system (within SharePoint). 
  • Assist with client billing processes through the firm’s corporate finance software. 
  • Prepare and draft legal cost agreements, client correspondence, and standard documents under the direction of the principal. 
  • Manage electronic filing systems and ensure proper document version control and organisation. 
  • Provide general administrative support for the principal and the firm as required. 

Key Selection CriteriaEssential 

  • Demonstrated proficiency in Office 365 applications including Word, Excel, PowerPoint, SharePoint, and Microsoft Teams. 
  • Previous experience in administrative or support roles, preferably in a professional services environment. 
  • Strong attention to detail and organisational skills. 
  • Ability to work independently, manage time effectively, and complete tasks with minimal supervision. 
  • Excellent communication skills, both written and verbal. 
  • Appropriate home office set-up, including reliable internet connection, suitable computer equipment, and a quiet working environment. 
  • Must be living in Australia and have the right to work in Australia. 

Desirable 

  • Experience in legal practice or professional services administration. 
  • Familiarity with client relationship management (CRM) or billing software. 
  • Understanding of legal documents and practice management processes.
