Job Description

QuIC is looking for an experienced Administrative Assistant to support its operations. Our team is agile and entrepreneurial, spread across multiple European countries. We thrive in a dynamic environment where no two days are the same—and we’re looking for an Executive Assistant who can keep up, stay ahead, and help us grow our impact.

You will work closely with the Project and Operations Manager to drive key operational tasks and take charge of QuIC’s core administrative functions, keeping the activities of QuIC running smoothly. The successful candidate will notably support the activities of QuIC within the frame of the European project QOMPASS, responsible for the coordination and ongoing activities of the European Quantum Flagship.

Key Responsibilities

  • Operational support:
  • Manage and maintain up to date internal documentation and published data on website.
  • Monitor QuIC’s central email inbox and calendar. Work with QuIC Team to address inquiries.
  • Business compliance: aid with travel expenses, time declarations and other reports.
  • Administrative tasks:
  • Support the preparation and realisation of select meetings (agendas, slides, detailed notes).
  • Lead the planning and organisation of QuIC-internal in-person meetings.
  • Serve as liaison with select external administrative functions and service providers.
  • Public project management:
  • Support public-project meetings: prepare meeting agendas and slides, take detailed notes.
  • Plan and organise in-person meetings with consortium partners.
  • Assist with project deliverables and reports: collect and edit inputs, submit final versions.
  • Manage and maintain legal documentation in connection with public projects.

Your Profile

  • Prior work experience: 3 or more years of prior experience in leading administrative functions. Prior experience in a start-up or other high-growth environment is a plus.
  • Outstanding organisational and time-management skills.
  • Successfully manage multiple parallel responsibilities.
  • Able to meet deadlines and deliver quality results in a fast-paced environment.
  • Great attention to details: able to succinctly and flawlessly capture essential points in meetings and exchanges, and to avoid errors in documentation, presentations and write-ups.
  • Strong interpersonal skills and enjoy working in an international environment. Candidates with past international experience preferred.
  • Start-up mindset: enjoys tackling business needs in adjacent disciplines, able to find innovative solutions to a variety of challenges.
  • Strong computer skills: proficient in Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel); excellent at creating clear and visually attractive slide decks for a variety of audiences.
  • Fluent reading, writing, and speaking skills in English. Business proficiency in another European language, particularly German, is a plus.
  • Academic background: university degree.
  • Citizen or legal resident with work permit of a Member State of the European Union, Liechtenstein, Norway, Switzerland, or the United Kingdom.

Position DetailsWork will be conducted mostly remotely, from a home / mobile office, using digital tools to connect with QuIC members and external collaborators. The Administrative Assistant will also be expected to travel approximately once per quarter to attend organised events and QuIC meetings.

Start Date: 1 May 2026 or earlier.

Part-time work: 30 – 40 hours / week (to be agreed with selected candidate).

Contract duration: until 31 December 2028 (duration of project QOMPASS)
