High-growth Insurance start-up | Operations Executive | Remote | Competitive salary + bonus DOE

We are seeking a highly organised, proactive Executive Assistant & Operations Coordinator to act as the right hand to our senior team and the operational backbone of the firm.

This is a trusted position with real responsibility. You will take charge of everything from managing calendars to structuring our business operations, and take full ownership of critical reporting processes. We want someone who's going to jump into complex team dynamics and find the best use of our senior team's time at every turn. We need a "finisher", someone who takes a task, runs with it, and delivers it to a high standard without needing to be chased.

Key Responsibilities:

  • Orchestrate complex diaries for the senior team across multiple time zones, ensuring their time is optimised for high-value work.
  • Manage inboxes with discretion, prioritising requests and handling routine correspondence on behalf of leadership.
  • Coordinate international and domestic business travel, including complex itineraries, flights, accommodation, and visa requirements.
  • Prepare agendas, take concise minutes, and ensure follow-up actions are tracked and completed.
  • Compile, format, and proofread reports to ensure data accuracy and professional presentation before they reach the client.
  • Identify bottlenecks in the current reporting cycle and improve templates/workflows to reduce manual admin.
  • Support the senior Operations team with workflow improvements and automations.
  • Support the onboarding of new hires (equipment, access, welcome packs) and offboarding logistics.
  • Maintain internal trackers, contact lists, and operational documents to keep the team running smoothly.

About You:

  • Proven experience as an EA, PA, Operations Assistant, or Senior Administrator. Experience in Insurance or Financial Services is a plus but not essential.
  • You are confident chasing senior stakeholders for inputs and managing tight deadlines.
  • You are comfortable with data formatting and spot typos and formatting errors instantly.
  • Proficient in Microsoft Office (Outlook, Excel, PowerPoint) and comfortable learning new internal systems.
  • You handle sensitive business and personal information with total confidentiality.
  • You solve problems before the CEOs even know they exist.
