Description
The Executive Business Assistant will work closely with the CEO to ensure the smooth running of day-to-day business operations and the successful execution of company priorities. This role acts as a central coordination point across departments, ensuring operational processes run efficiently, tasks are completed on time, and business initiatives progress as planned.
The position combines operational oversight, executive support, project coordination, and business administration, enabling leadership to focus on strategic growth.
This role is well suited to a generalist by nature who enjoys working across multiple functions and sees the opportunity to grow into broader responsibilities within the company over time.
Key ResponsibilitiesOperational Coordination
- Support the CEO in managing day-to-day business operations.
- Track and monitor operational tasks across teams to ensure timely completion.
- Ensure internal systems and processes (including CRM usage) are consistently maintained.
- Identify operational inefficiencies and recommend improvements.
CRM & Reporting Oversight
- Monitor CRM usage across teams and ensure accurate data entry and pipeline updates.
- Follow up with teams to ensure tasks, activities, and reporting are completed.
- Produce operational and sales reports for leadership.
Finance & Administrative Oversight
- Ensure routine and scheduled finance-related administrative tasks are completed consistently and on time.
Project Coordination
- Support cross-departmental projects and company initiatives.
- Track project progress, timelines, and deliverables.
- Coordinate meetings, documentation, and follow-ups to ensure project completion.
Executive Support
- Assist the CEO with operational planning and prioritisation.
- Prepare reports, presentations, and documentation.
- Ensure key actions from leadership meetings are followed up and completed.
Process Improvement
- Develop and document operational procedures and internal playbooks.
- Implement tools and workflows to improve efficiency and accountability.
Skills & Experience
- Experience in operations, business administration, project management, or executive support
- Strong organisational and coordination skills
- Experience working with CRM systems (e.g., HubSpot, Salesforce)
- Excellent follow-through and ability to hold teams accountable for deliverables
- Strong communication and stakeholder management skills
- Ability to manage multiple projects simultaneously
- High attention to detail and problem-solving capability
