Position Summary

This is an exciting opportunity to join Umoja Health as a Key Account Manager, where you will play a central role in delivering an exceptional customer experience and driving the success of our mission-driven work. In this position, you will own the full lifecycle of customer orders and quotations, serve as a trusted partner to our customers, and ensure every order is executed with accuracy, urgency, and care. You will collaborate across teams, maintain rigorous data integrity in NetSuite, and coordinate with vendors and carriers to achieve consistent in full, on time delivery. Key Responsibilities1. Customer Service & Relationship Management

• Serve as the primary point of contact for the assigned customer, ensuring clear, timely, and proactive communication.

• Provide updates, resolve issues, and build a trusted, collaborative relationship with the customer and internal stakeholders.

• Ensure every interaction reflects professionalism, accuracy, and a commitment to customer success.

2. Order Management & Execution

• Enter customer sales orders into NetSuite accurately and on schedule.

• Create corresponding purchase orders and submit them to vendors.

• Generate and manage freight orders to support in full- and on-time deliveries.

3. Order Tracking & Communication

• Track orders from placement through final delivery, maintaining real-time visibility across systems and shared trackers.

• Communicate delivery timelines, changes, and confirmations to the customer and internal teams as needed.

• Record delivery details, invoice numbers, SOs, POs, carriers, and all required data.

4. Freight Tendering & Logistics Coordination

• Tender freight to approved carriers and communicate shipment details including SO#, PO#, pickup and delivery info, and special instructions.

• Update trackers as loads are tendered and as statuses evolve.

• Reconcile delivered orders and resolve any discrepancies.

5. Pricing Management & Monthly Price Sheet

• Lead the monthly update of pricing sheets.

• Request vendor updates, adjust item pricing, and add new items as required.

• Submit updated pricing by established deadlines.

6. Sales Quotations & Customer Proposal Support

• Prepare accurate, timely sales quotations for the customer.

• Coordinate with vendors, freight partners, and internal teams to ensure quotes reflect true costs and program requirements.

• Maintain organized records of current and historical quotes.

7. Reporting, Visibility, & Internal Communication

• Participate in daily check-ins with your supervisor to problem-solve, review issues, and ensure alignment.

• Communicate clearly and consistently on order status, challenges, and the customer’s needs.

8. Product Data & Documentation Management

• Maintain product documentation in SharePoint, including product labels, product eligibility letters, and other required materials.

• Ensure items are correctly documented and easily accessible.

9. Cross-Functional Collaboration & Issue Resolution

• Partner with internal teams across operations, sales, finance, and logistics to resolve issues quickly and accurately for the customer.

• Escalate concerns related to pricing, documentation, fulfillment delays, or customer impact.

• Support continuous improvement of tools, workflows, and reporting processes.

Ideal Experience ProfileCustomer Service, Communication & Relationship Skills

• Track record of excellent customer service, communication, responsiveness, and relationship-building.

• Ability to communicate clearly, professionally, and proactively with the customer, all vendors, and internal teams.

• Demonstrated ability to navigate issues, resolve problems, and maintain positive working relationships.

Background & Industry Experience

• 1 to 3 years of experience in food distribution, CPG, or supply chain operations.

• Hands-on experience managing customer orders, vendor communication, pricing, and delivery coordination.

Systems & Technical Skills

• Strong experience with NetSuite or similar ERP systems.

• Ability to enter and reconcile SOs, POs, freight orders, invoices, and delivery records.

• High proficiency in Excel and familiarity with SharePoint, Microsoft Lists, or Google Workspace.

Logistics & Freight Knowledge

• Experience working with freight carriers, tendering loads, or coordinating deliveries.

• Understanding of accessorial charges, lead times, and delivery workflows.

• Strong communication skills for troubleshooting delivery issues in real time.

Customer Support & Pricing Competency

• Experience preparing customer quotes, cost analyses, or pricing sheets.

• Ability to balance speed, accuracy, and professionalism when supporting customer needs.

Work Style & Soft Skills

• Highly organized with strong follow-through and attention to detail.

• Ability to manage multiple orders, deadlines, and stakeholders simultaneously.

• Strong relationship-building skills with customers and vendors.

• Thrives in a fast-paced, high-accountability environment.
