2. About the Opportunity:
The Virtual Assistant plays a critical role in ensuring smooth administrative functions by supporting executives, teams, and departments. This position is responsible for managing scheduling, communication, documentation, and coordination tasks that contribute to the overall efficiency and success of the organization.
3. Responsibilities:
• Manage complex executive calendars, resolve scheduling conflicts, and coordinate appointments seamlessly across multiple global time zones
• Handle high-volume email correspondence, prioritize urgent messages, and draft professional, context-appropriate communications
• Prepare detailed reports, polished presentations, and comprehensive meeting summaries with a strong attention to detail
• Organize, clean, and maintain secure cloud-based digital file structures, operational documents, and internal databases
• Coordinate multi-departmental projects and tasks, monitoring timelines to ensure the timely delivery of organizational milestones
• Respond to incoming customer or partner inquiries promptly, resolving administrative issues with a high degree of customer service
• Manage end-to-end travel logistics, compile complex expense reports, and maintain accurate administrative documentation
• Assist with accurate data entry, cross-system verification, and regular maintenance of internal systems, logs, and tracking spreadsheets
• Support comprehensive event planning logistics for virtual meetings, large-scale webinars, conferences, and corporate functions
• Utilize modern software tools and automation features to optimize daily workflows and increase overall team productivity
• Maintain strict confidentiality regarding business information and adhere diligently to corporate data protection policies
• Communicate clearly, proactively, and effectively across all utilized virtual communication channels and platforms
• Adapt fluidly to emerging digital tools and processes while actively identifying and suggesting workflow improvements
4. Requirements:
• Minimum of 2 years of professional experience in a dedicated virtual assistance, executive support, or corporate administrative role
• Advanced operational proficiency across the entire Microsoft Office Suite and Google Workspace ecosystem
• Proven hands-on experience navigating and managing digital communication platforms including Zoom, Slack, and Microsoft Teams
• Demonstrated typing speed of at least 40 words per minute (WPM) with a high benchmark for accuracy
• Strong written and verbal communication skills tailored for a remote, professional corporate environment
• Excellent organizational, prioritization, and time management abilities to navigate competing deadlines
• Proven ability to multitask effectively and manage a diverse workload with minimal day-to-day supervision
• High detail orientation with a strong professional commitment to overall work quality and structural accuracy
• Resourceful problem-solving and analytical skills to address administrative bottlenecks independently
• High school diploma or equivalent secondary education certification is required
Preferred:
• Associate degree or professional certification in Business Administration, Office Management, or a related field
• Hands-on user experience with CRM software (e.g., HubSpot, Salesforce) and modern project management tools (e.g., Asana, ClickUp, Trello)
• Foundational bookkeeping, invoicing, or baseline corporate accounting knowledge
• Basic experience with professional social media management tools and digital database maintenance practices
• Prior professional track record successfully supporting senior managers, directors, or executive-level leadership

5. Pay Range and Compensation Package:
• Target hourly compensation rate: $20.55 to $28.55 USD per hour
• Final hourly rate placement within the established range is determined based on the applicant's depth of executive support experience, specific software expertise, and verified skill qualifications
