We are looking for a friendly, professional, and organized Remote Receptionist to serve as the welcoming voice of our organization. In this role, you will manage incoming calls, greet virtual visitors, route inquiries to the appropriate team members, and perform light administrative tasks. If you have excellent communication skills, a warm demeanor, and enjoy helping people, this fully remote role offers a supportive, low-stress environment where your contributions will be valued. Key Responsibilities

  • Serve as the first point of contact for virtual visitors, clients, and partners.
  • Greet and direct individuals to the appropriate team members or departments.
  • Assist with scheduling appointments, calls, and follow-ups.
  • Answer and route incoming phone calls in a professional and friendly manner.
  • Maintain and update contact lists, directories, and call logs.
  • Screen calls and prioritize urgent inquiries as needed.
  • Manage shared email inboxes, responding to or routing inquiries as appropriate.
  • Schedule and coordinate virtual meetings, including sending invites and reminders.
  • Assist with data entry, document preparation, and light clerical tasks.

Requirements

  • Previous experience in reception, customer service, administrative support, or related role is preferred. Entry-level candidates with strong communication skills and a professional demeanor are encouraged to apply.
  • Exceptional written and verbal communication skills with a warm, professional, and clear speaking voice.
  • Comfortable using phone systems (VoIP, RingCentral, Zoom Phone, or similar), email platforms, and scheduling tools (Calendly, Google Calendar, Outlook).
  • Strong attention to detail with the ability to manage multiple calls and tasks simultaneously.
  • Ability to handle information with discretion and maintain a polished, friendly demeanor at all times.
  • Resourceful and calm under pressure, with the ability to handle difficult or frustrated callers professionally.
  • Ability to work independently in a remote environment, manage your own schedule, and take initiative.
