We are looking for a full-time Personal Executive Assistant to join our fully remote team.

🚀 About Us

We are an E-Commerce Growth Agency that helps DTC & E-Com Brands scale past 500k/month profitably with Meta Ads. Our client's are 7- and 8-figure e-com brands. We help them crack the code to scale their businesses profitably to 8-figures.

Now we're looking for a Personal Executive Assistant for our founder Dominik

đŸ’Ș Mission for Personal Assistant

  • To take over any type of personal, planning, coordination and research activities from our founder so he can focus more on the business and free up his time.

⭐ Main Success-KPI:

  • Time freed up in Founder’s CalendarReduction of touchpoints from the founder with personal errands and tasks that are not strategic.
  • Number of issues resolved without escalation per month and without founder's assist
  • Average response time to messages from the founder is less than 60 min

Responsibilities 📋 

✅ Execute on tasks delegated to you by the founder based on priority

✅ Any problems and challenges that arise are dealt with independently

✅ Finish the new tasks you get as soon as possible and with great attention to detail.

✅ 1-3-1 Rule: Every time you have ONE problem, come up with at least THREE well-thought-out solution proposals and choose ONE recommended solution.

Tasks for example include:

Accounting:

✅ collect invoices and upload them to Drive Folder every month

✅ check with accountant for missing invoice

✅ discover missing invoices

Controlling:

✅ add costs to cost tracking sheet

Invoicing:

✅ check payments and send reminders

✅ connect incoming revenue with invoices

Hiring:

✅ invite people to Upwork job after certain criteria

✅ first profile screening

Research, communication tasks & admin tasks:

✅ Booking appointments, flights, hotels

Manage daily life of Founder:

✅ Planning and coordinating travels, booking hotels, flights, etc.

✅ Support Founder’s calendar

  • You have relevant experience as a Personal Assistant directly supporting a CEO / Founder 
  • Bonus: You are successfully working as one now and want to take on another client that you support to fill up your week and be a PA full time
  • You have excellent speaking and writing skills in English 
  • Nice to have: German skills
  • You are an expert at using modern tools like ClickUp, and Todoist and use it to communicate and work on tasks efficiently.
