Job Summary: We are seeking a highly organized, proactive, and experienced professional to lead and manage the team of Executive and Personal Assistants (EAs and PAs) supporting the CEO of the company. The Head of Executive and Personal Assistants ensures the delivery of exceptional administrative and strategic support, streamlining operations, and enabling leadership effectiveness across the organization. Key Responsibilities:

  • Leadership & Team Management:
  • Manage, mentor, and develop a team of Executive and Personal Assistants.
  • Establish and maintain best practices for administrative support across the team.
  • Assign responsibilities, set performance goals, and conduct regular evaluations.
  • Strategic Support & Coordination:
  • Coordinate complex schedules, meetings, and travel plans
  • Oversee the preparation of executive-level documents, briefings, and reports.
  • Ensure confidentiality and discretion in all communications and handling of sensitive information.
  • Process Improvement:
  • Identify opportunities to improve administrative workflows and implement streamlined processes.
  • Standardize tools and practices across assistants to ensure consistency and efficiency.
  • Stakeholder Engagement:
  • Serve as a liaison between the executive office and internal/external stakeholders.
  • Facilitate communication and ensure alignment of priorities among leadership.
  • Project Management:
  • Support the execution of strategic initiatives and cross-functional project with CoS
  • Track deadlines and ensure timely follow-up on key decisions and action items

Qualifications:

  • Minimum 5 years of experience as an Executive Assistant, with at least 2 years in a managerial/leadership role.
  • Proven ability to manage high-performing teams in a fast-paced environment.
  • Excellent communication, interpersonal, and organizational skills.
  • Discretion and professionalism in handling confidential information.
  • Advanced proficiency in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Asana, Trello, Notion).

Preferred Attributes:

  • Experience supporting C-level executives or working in an international environment.
  • Strong emotional intelligence, adaptability, and problem-solving skills.
  • Ability to multitask and prioritize in a dynamic environment.
