Successful candidate will support the Operations Director (OD) as a genuine
force-multiplier to create time, clarity and momentum across
communications, calendars, systems and routines so that the department
moves decisively every day. You will elevate inboxes and channels, keep
agendas sharp and effective, surface risks early and help to turn chaos into
excellence – all for the benefit of patients.
The OD spends their time primarily in a London HQ office, working with
interdepartmental teams to grow the business and develop novel strategies in
a fast-paced market. As such, the successful VA will need to be well equipped
to support with a busy diary full of workshops, dashboard reviews and
protected focus time to ensure the OD is operating at full capacity.
Key Responsibilities:Keep The OD Connected
• Own comms channels for the OD, intelligently triaging, tagging and
routing, as well as drafting replies, queuing approvals and setting
follow-ups
• Draft high-quality communications in professional UK business
English; where necessary, adapt to the tone and language of the OD
Confidential Administration
• Work closely with the OD on important company matters, with access
to sensitive data
• Represent the values and spirit of the OD at all times
Daily Rhythm
• Produce a Director Daily Brief for the OD for 9:00am UK
• Dynamically manage OD priorities and commitments as the day
evolves, given fast-paced startup environment
• Produce a EOD Sweep for the OD for 4:00pm UK
Drive Meeting Hygiene for the Operations Department
• Help to systemise input (e.g. agenda, briefings) and output (e.g. action
items, minutes) data for Department meetings
• Support the OD to maintain supportive meeting culture, representing
them where necessary and following-up action items
Stakeholder Choreography
• Proactively chase updates, ETAs and documents with a clear
escalation plan
• Maintain stakeholder maps and contact matrices
Systems & Tools
During Onboarding, successful candidate will be provided full training across
business systems and tools.
However, to ensure we maximise the effectiveness of the role we expect
candidates to already have experience with:
• Microsoft Office (Word, PowerPoint, Excel)
• Asynch communication platforms (e.g. Teams, Slack)
• Cloud-based business phone systems
• Project management tools (e.g. Asana, Monday.com)
• CRM (e.g. Zendesk, HubSpot)
Education & Experience
• Minimum 12 months experience as a Virtual Assistant, with a
preference for experience in a fast-growth environment
• Bachelor’s degree preferred but not required – we are open to
candidates with diverse backgrounds
