The Data Entry Analyst / Specialist will play a pivotal role in ensuring that Colour Line Hair Studio maintains accurate, timely, and actionable data to support its front-line salon operations, inventory management, retail product sales, appointment scheduling, and customer service activities. Key Responsibilities

Enter, clean, and validate a wide variety of data: appointment logs, client service histories, inventory/retail product records, vendor invoices/purchase orders, and supplier shipments.

Review source documentation for completeness and accuracy (e.g., stylists’ service sheets, retail stock receipts, return logs) before data entry; follow up on discrepancies with relevant teams.

Process and transform raw data into structured, usable formats — standardizing fields, removing duplicates, applying naming conventions, and preparing datasets for analysis or reporting.

Reconcile data sets across systems (for example: comparing actual product sales vs. inventory, appointment bookings vs. fulfilled services, vendor shipments vs. recorded entries) and prepare discrepancy reports for management review.

Generate regular and ad-hoc reports summarizing key operational metrics: product turnover, appointment cancellations or no-shows, retail up-sell rates, data backlog volumes, and data-entry error trends.

Assist in establishing and maintaining database/record-keeping systems and documentation of workflows (SOPs for data entry, naming conventions, archiving standards) to ensure consistency and accuracy.

Collaborate cross-functionally with salon staff (front-desk, stylists, retail team, inventory/warehouse) to collect data, clarify missing information, and ensure remote-data reflects in-salon activities.

Identify opportunities for process improvement: implement templates, automation (macros, scripts), improved organizational structures, and remote workflows to streamline data-entry and enhance efficiency.

Uphold data confidentiality and security: protect client, vendor, product and operational data; follow best practices for remote work, data backups, and access protocols.
Requirements

High School diploma or equivalent required; Associate degree or certification in data management, business administration, office technology or similar preferred.

At least 1–3 years of experience in data entry, data processing or administrative support — experience in retail, salon, service industry or remote work is advantageous.

Excellent attention to detail and high level of accuracy when handling moderate to large volumes of data entries.

Proficiency with spreadsheet software (Microsoft Excel or Google Sheets) including filters, formulas, data clean-up and table management; experience with databases or salon/retail management systems is a plus.

Strong organizational and time-management skills — able to prioritise tasks, meet deadlines and work independently or remotely where required.

Good communication skills (written and verbal) — able to coordinate with team members, ask clarifying questions, and follow up on missing data.

Reliable remote or hybrid work setup (if applicable): stable internet connection, dedicated workspace, self-motivated and comfortable working virtually.
