About the Opportunity

The Virtual Administrative Assistant plays a key role in supporting the property management team by ensuring smooth and efficient administrative processes. This position helps maintain effective communication, organization, and data management, enabling property managers to deliver high-quality service. The role is fully remote and critical to the operational success of the team.

Responsibilities

  • Calendar and Schedule Coordination: Manage and organize complex team schedules, coordination of internal appointments, and corporate calendars.
  • Inquiry Resolution: Handle incoming email correspondence and phone inquiries promptly and professionally to preserve communication standards.
  • Document Production: Prepare, format, and edit business documents, operational reports, and presentations.
  • Record Upkeep and Data Entry: Perform accurate data entry and maintain central databases, including detailed tenant history and individual property records.
  • Maintenance Coordination: Coordinate routine and urgent maintenance requests and facilitate smooth technical communication between residents and localized contractors.
  • File Administration: Organize digital folder systems to keep administrative documentation current, structured, and accessible.
  • Team Assistance: Provide general administrative support to contribute directly to everyday team success.

Requirements

  • Administrative Experience: Proven professional experience as an Administrative Assistant, Virtual Assistant, or a highly similar operational support role.
  • Software Literacy: High proficiency in the Microsoft Office Suite (Word, Excel, Outlook) alongside full comfort operating within Google Workspace.
  • Communication and Precision: Strong written and verbal communication skills backed by a high attention to detail.
  • Management Strengths: Excellent organizational and time-management abilities, showing effective prioritization across concurrent daily tasks.
  • Ethical Data Handling: Absolute ability to handle sensitive and confidential information with discretion, security, and professionalism.
  • Action Style: Proactive and resourceful problem-solving skills when faced with technical or logistical operational barriers.
  • Industry Context: Prior background or familiar knowledge in property management or real estate workflows is advantageous but not strictly required.

Compensation and Benefits

Compensation

  • Contract Payment Rate: $800 to $1,000 USD per month.
