We’re hiring a sharp, organised, customer-obsessed Operations Administrator to join our mission to help people with chronic pain get their lives back.
At MoreGoodDays, we run programs that support people through psychology, movement, and pain science — The Operations Administrator provides administrative and client support to assist with the smooth day-to-day running of MoreGoodDays’ programs.
The role focuses on supporting clients and clinicians through established processes, handling bookings and enquiries, assisting with billing administration, and maintaining accurate records. The role operates under guidance from senior operations team members and escalates complex or non-routine matters as required.

What you’ll do:Client communication and support
- Conduct client support and suitability screening calls in line with established scripts, processes, and eligibility criteria
- Receive inbound client calls and assist with routine enquiries
- Make outbound calls to follow up on client requests or confirm arrangements
- Communicate with clients in a professional, calm, and empathetic manner
- Refer complex or non-standard matters to the appropriate team member
Appointments and scheduling
- Book, cancel, and reschedule telehealth appointments in line with established procedures
- Maintain accurate appointment records in Cliniko & Accurate records in our CRM
- Support clients to understand their appointment schedules and attendance requirements
Billing and Medicare administration
- Assist with Medicare billing and eligibility checks in accordance with internal processes
- Support clients with basic billing-related questions
- Ensure billing information is accurately recorded and escalate discrepancies when identified
Clinician administrative support
- Provide administrative assistance to clinicians as requested
- Coordinate routine follow-ups and information sharing
- Support clinicians by managing administrative tasks so they can focus on delivering care
Program tracking and records
- Track client attendance and program participation
- Maintain accurate and up-to-date client records
- Flag missed sessions or upcoming milestones to the operations team
- Assist with general administrative tasks and reporting as required
What we’re looking for:
- Previous experience in an administrative, customer service, or support role
- Comfortable speaking with clients over the phone
- Strong attention to detail and ability to follow processes
- Reliable, organised, and able to manage routine tasks efficiently
- Basic confidence using computer systems and learning new tools
- Professional communication style, particularly when supporting people experiencing health challenges
- Based in Australia with the right to work
Desirable (but not required)
- Experience in a healthcare or allied health environment
- Familiarity with booking or practice management systems (e.g. Cliniko)
- Exposure to Medicare billing or health administration
- Experience working in a small or fast-paced team
