We are currently seeking an Administrator and PA to Director to join our team.
Location:
- Remote working with occasional visits to Naxxar and Paola gyms.
Hours:
- 25 hours per week, with flexible scheduling (primarily mornings and occasional weekends in the case of events).
Compensation:
- A monthly remuneration package is offered, commensurate with experience and responsibilities.

FlicFlac Gymnastics is a dynamic and welcoming gymnastics academy specializing in recreational gymanstics training for children and youth. We focus on building confidence, coordination, and a love for movement through fun, skill-based programs in a safe and supportive environment. Our mission is to make gymnastics accessible and enjoyable for all skill levels while fostering personal growth and physical literacy. We currently operate in Naxxar and Paola, Malta.
Role Description
FlicFlac Gymnastics is seeking a proactive and highly organised Administrator & PA to the Director to support our day-to-day operations and dynamic seasonal programming. This multifaceted role blends administrative support with seasonal event coordination, ideal for someone who thrives in a fast-paced, child-focused environment. The Office Administrator / Personal Assistant reports to the Managing Director and is responsible for assisting with office administrative tasks, basic book-keeping, and providing support to the Managing Director to optimize the efficiency of her day. The role calls for a mature and experienced individual who is discreet and highly efficient / organised.
Key Responsibilities:
- Provide direct administrative support to the Director, including calendar management, correspondence, and task coordination
- Organise and oversee seasonal events, book gymnastics camp activities, and children’s parties
- Handle customer inquiries and scheduling, ensuring smooth communication and client satisfaction
- Assist with funding applications, sponsorship outreach, and other growth initiatives
- Oversee merchandise stock, including inventory checks and order tracking
- Source and liaise with vendors, negotiate quotes, and manage service bookings for events and gym needs
- Create promotional materials and eye-catching social media content for events and quarterly programs
Qualifications and Requirements:
- Proven experience in administration, personal assistance, or event coordination
- Strong organisational and multitasking abilities
- Have a good command of the English and Maltese languages and can prepare communication templates.
- Be highly computer literate - Comfortable working with social media and basic promotional campaigns
- Knowledge of Canva, Adobe, or similar design tools is an asset
- Interest in gymnastics or youth sports is a plus
- Must have access to a personal laptop suitable for remote work
