Senior Executive Assistant / Chief of Staff — Remote (US hours)
Job Description
Posted on: June 7, 2026
We are a fast-growing group of companies operating in the US market. We're looking for an experienced, ambitious person to work fully remotely as the right hand of the management team, keeping day-to-day operations running smoothly. This role works on US time-zone hours (US hours).
This is a role for someone with a solid business background who works independently, thinks a step ahead, and takes full ownership of their work. Beyond supporting the management team, you'll also coordinate the work of other assistants and staff (a chief-of-staff dimension).
Your responsibilities:
- Day-to-day support for the management team, taking routine work off their plate
- Versatile, all-round business support across the entire group
- Coordinating and overseeing other assistants and staff, delegating tasks and following through (a chief-of-staff role)
- Calendar management — prioritizing meetings and coordinating across time zones
- Organizing business travel: booking flights, hotels, and transport, and preparing itineraries
- Handling payments, invoices, and expense reports
- Managing communication and correspondence; acting as the first point of contact (filtering emails and calls, routing what matters)
- Coordinating meetings: preparing agendas, materials, and notes/follow-ups
- Preparing presentations, reports, and summaries
- Liaising with and maintaining relationships with clients, vendors, and partners
- Supporting ad-hoc projects and resolving day-to-day operational issues
- Safeguarding confidential information and keeping documentation organized
What we're looking for:
- A university degree in business management (or a related field)
- Minimum 5 years of professional business experience, including assistant / executive-support work
- Experience coordinating a team or other assistants
- Highly driven, proactive, and self-directed: takes ownership
- Sharp and business-savvy, with strong analytical and organizational skills
- English at a minimum B2+ level
- Availability to work US time-zone hours (US hours)
- Willingness and ability to travel for business across Europe and the US (valid passport)
- A reliable internet connection and your own workstation (remote role)
- Good knowledge of MS Office (Outlook, Excel, PowerPoint)
- Discretion, strong communication skills, and professionalism
Nice to have:
- Experience working with international teams or companies
- Knowledge of an additional language
What we offer:
- A 100% remote role: no commute, work from anywhere
- Stable, long-term cooperation
- Competitive pay matched to your experience
- Performance-based bonuses
- A budget for training and professional development
- Close collaboration with leadership and real impact across the group
- An international working environment
