We are currently hiring a Contracts Administrator for our client based in Pittsburgh, PA area. The job can be remote with occasional travel.

Position Summary

The Contracts Administrator supports pipeline construction, maintenance, and operations by ensuring strict adherence to contractual and documentation requirements across all project phases. This role acts as an internal consultant to project teams and leadership, proactively identifying compliance gaps, mitigating contractual risk, and providing recommendations in the event of disputes—prior to escalation to legal counsel. The Contracts Administrator also prepares and issues formal notices and letters of non-compliance when applicable.

Key Responsibilities

Contract Administration & Compliance

  • Administer, track, and manage contracts, amendments, change orders, and supporting documentation for pipeline projects.
  • Monitor contractor and internal compliance with all contractual documentation requirements, including but not limited to:
  • Insurance certificates
  • Bonds and guarantees
  • Safety and regulatory documentation
  • Schedule and progress reporting
  • Invoicing and backup documentation
  • Ensure contract terms are properly flowed down to subcontractors where applicable.
  • Maintain organized, auditable contract files in accordance with company policies and regulatory requirements.

Internal Consulting & Risk Mitigation

  • Serve as a trusted internal advisor to project managers, construction teams, procurement, and leadership on contractual obligations and risk exposure.
  • Analyze contract language and project events to identify potential disputes, claims, or non-compliance.
  • Provide written and verbal recommendations on dispute resolution strategies prior to involving legal counsel.
  • Support negotiation and resolution of contract issues at the project level.

Dispute Support & Non-Compliance Notices

  • Draft clear, professional letters of non-compliance, notices of deficiency, and other formal contract correspondence in accordance with contract terms.
  • Ensure all notices are issued timely, properly documented, and aligned with contractual notice requirements.
  • Assist in the preparation of claim documentation, responses, and supporting records as needed.

Collaboration & Continuous Improvement

  • Work closely with Legal, Procurement, Engineering, and Construction teams to align contract administration practices.
  • Contribute to the development and improvement of contract administration procedures, templates, and best practices.
  • Support audits and internal reviews related to contract compliance.

Required Qualifications

  • Bachelor’s degree in Business, Construction Management, Engineering, Legal Studies, or a related field (or equivalent experience).
  • 5+ years of contracts administration experience in oil & gas, pipeline, or heavy civil construction.
  • Strong working knowledge of pipeline construction contracts, commercial terms, and documentation requirements.
  • Demonstrated experience drafting formal contract correspondence, including notices of non-compliance.
  • Ability to interpret contract language and identify risk, exposure, and compliance issues.
  • Excellent written and verbal communication skills.
  • Highly organized with strong attention to detail and documentation control.

Preferred Qualifications

  • Experience supporting claims or dispute resolution prior to legal escalation.
  • Familiarity with regulatory requirements affecting pipeline projects.
  • Experience working with EPC, master service agreements, and unit rate contracts.
  • Contract management or project controls certifications (CCM, CPCM, PMP, etc.).
