About The Opportunity Primary job title (standardized): Scheduling Coordinator We operate in the enterprise SaaS scheduling and workforce-management software sector, delivering cloud-based scheduling, appointment and resource-optimization solutions to distributed teams across the United States. This is a fully remote role focused on high-volume calendar operations, client-facing appointment coordination, and process-driven execution for a fast-moving software organisation. Role & Responsibilities
- Own day-to-day calendar operations: manage, update and optimise multiple shared calendars and booking pipelines for internal teams and external customers.
- Coordinate appointments end-to-end: schedule, confirm and follow up on client and partner meetings across time zones using booking tools and video conferencing platforms.
- Resolve conflicts and prioritise bookings: proactively identify clashes, propose solutions, and rebook meetings to minimise downtime and maintain SLAs.
- Maintain accurate records: update CRM and scheduling systems with appointment details, participant notes and status changes to ensure data integrity.
- Generate and distribute scheduling reports: produce daily/weekly schedules, capacity snapshots and ad-hoc summaries for operations and leadership.
- Document and improve scheduling processes: develop SOPs, apply small process improvements, and onboard colleagues on calendar tools and best practices.
