Our Aspris Estates Team looks after some 100 properties, encompassing large schools, residential homes, and offices. And we're looking to add to our busy team! We are recruiting for an Estates Operations Administrative Assistant to join our thriving team, someone who is an enthusiastic and diligent multi-tasker who will help manage a range of activity such as property leases, disposals, administration, and some basic finance functions. You will be supporting a busy team who lead on the delivery of infrastructure capital projects; this can take the form of refurbishments, as well as reprovisions and new builds. The Role
- Work under the supervision of the Head of Estates Operations
- Help manage the company property portfolio, including acquisitions, leases, closures and disposals
- Oversee the administration related to facilities management support
- Assist with the following areas:
- Planning applications
- Asbestos management register
- Accrual information collation
- Maintain Estates-related databases such as for leases, empty sites,
- Help to manage rebates on Council Tax & Business Rates
- Collate insurance reinstatement costs and site surveys
- Contribute to searches for new sites
- Collate team monthly timesheets
- Raise fund requests and purchase orders for suppliers
- Provide basic budget management support to the team
- Undertake team administrative tasks
- Assist team projects as required
- Ensure both SharePoint and CRM systems are kept up to date
- Contribute to wider Estates Team tasks as directed by the Director of Estates
What we need from you!
- Personable and professional
- A good communicator, both written and verbal
- Able to work remotely (at home) with minimum supervision
- Well organised, diligent and reliable
- Flexible and able to operate with minimum fuss
- Ideally 5 GCSE including Maths and English
- Proficient in the use of Microsoft Office, Excel & Word
